a.      Purpose of your report
The first and most important thing before doing anything else is to define your purpose of writing the report. Is the report written for informing or persuading? Is it for future projection or for past reviewing? If this report is assigned to you then discuss it with the person who assigned you. Do not proceed further, until you fully understand the purpose of the report.

b.      Write the report for your readers
This is also related to the first tip. Before writing the report you should know that to whom you are writing the report. You should have knowledge about your readers that who they are, whether they are experienced or inexperienced, insiders or outsiders. Do not use words that are not suitable for the report or for your readers like jargon. Throughout the report, just keep your reader in your mind. If it is helpful, then provide the supplementary information at the end of the report.

c.       Research – Compose – Resume
Now, when you are in the state that you know what you are writing, to whom you are addressing, so you can now gather all the related information and then start writing your report. After accomplishing the report with the right and ordered manner, now you can sum up your report with the executive summary which defines the report in a summarised manner. Though this summary is likely to be written in the last, but it is the first thing that a reader will read.

d.      Cover your topic
Write your report long enough to carry out its intention, but it should not involve a single word that does not relate to the report. Bring out questions, objection and provides the responses. Don’t try to fill the report with unnecessary words or points.

e.       Flow in a logical manner
It is important to write the report in an ordered manner, though it sounds silly, but most of the people forget to follow the rule of writing the report orderly with the introduction, the main body and then the conclusion.

f.        Visual aspect matters
The report should be visually able to attract the interest of the reader.  Your report should be more attracted that it forces a reader to read it. It should be clear enough that the reader can understand what you are saying just by scanning it. Be creative; provide charts, tables or other illustration techniques for the presentation of the information. Draw some points boldly, but make sure that this act does not interfere with the message.

g.      Re-examine and make revisions
Once the report is completed, you can now come up to the point where you can revise and review your report with great attention. Keep it back, and then read it again at least after a night because fresh mind and eyes can find errors more easily than the one which is depleted of strength. Also, you can approach others to review and give feedback about the report.
